Facilities Bookings Ts&Cs
Thank you for your interest in booking our facility for your event/activity. The Recreation Grounds are over 100 years old and they are run entirely by volunteers for the benefit of the village. In order to keep the facilities in reasonable condition and costs as low as possible we have a few Ts&Cs which we respectfully ask you to read and sign before hiring the hall. - The hirer must be 18 years or older
- The facilities must be returned to the condition they were found ready for the next user, including cleaned by the user if necessary. A clean can be booked in at additional cost to the hirer if preferred.
- If any breakages or cleaning are necessary after the period of hire, the hirer may be charged to remedy any issues.
- The facilities will be treated respectfully
- All facilities used such as chairs and tables should be returned to their original position after the period of hire.
- Keys should be returned to the safe box after use and the code scrambled ready for the next user.
- All doors and windows within the facility should be left locked and secure.
- Al lighting should be turned off and the heating should be turned off if it was turned on by the user.
- There should be no smoking or vaping anywhere on the premises.
- The person or organisation hiring the hall must be covered by their own insurance for their own activities and equipment and have their own policies in place.
- Cancellation of an event/activity should be made in writing up to 48hours before the event and a full refund will be given: no refund will be given if notice is less than 48 hours.
- Any event with over 50 attendees expected must adhere to the “Events Policy”.
Events Policy
Belbroughton Recreation Centre was donated to the villagers of Belbroughton in 1920 in memory of the fallen of World War 1. It was left with the specific instruction that it was “to be appropriated and used in perpetuity as a public recreation ground and playground……..of benefit to the inhabitants of the said parish of Belbroughton”
In light of this the Recreation Centre Committee of 2023 has created a policy by which all future events held on the grounds must adhere to.
An “Event” is defined as:
- A gathering of more than 50 people
- A gathering of people held on the grounds of the Recreation Centre or within its buildings.
An event must adhere to the following criteria before being considered by the Committee. Meeting the criteria does not presume acceptance of an event but an event will not be considered if it doesn’t meet all of the criteria stated:
- The event must be of benefit to the villagers of Belbroughton.
- The event must not pose a long term detriment to the villagers of Belbroughton.
- The Recreation Centre must be compensated for the use of the facilities unless the event is of direct and sole benefit to the villagers of Belbroughton.
- The Recreation Centre Booking Ts & Cs must be read and signed by the user.
In addition to this, if an event has the possibility of exceeding 499 attendees then it is defined as a “large event” and a full Event Plan must be submitted to the Recreation Centre Committee for approval before the event takes place. Failure to do so to a satisfactory level and in a timely manner may result in approval for the event being withdrawn. The Event Plan will include:
- Details of the event activities, numbers of attendees and intended demographic.
- Close proximity parking provision (additional to the parking provided at the Recreation Ground)
- Traffic management & site security arrangements
- Amenities provision for the attendees including toilets and waste management
- Health & Safety Plan
- Lost child procedure
- Details of licences required and names of holders
